We respect your privacy
The University of South Australia Student Association Inc. (USASA) respects your right to privacy and this policy sets out how we collect and treat your personal information. USASA abides by the Privacy Act 1988 and as such follows the guidelines of the Australian Privacy Principles in its information management practices.
Collection of Personal Information:
- The association will only collect the personal information that is necessary for its operations and activities.
- Your personal information will be collected in a fair and lawful manner, with your knowledge and consent.
- The USASA representative will inform you of the purpose for which your personal information is being collected.
- You may have the option of not identifying yourselves, or of using a pseudonym. However, as USASA is a member organisation, we will most often be required to identify you to ensure you are a UniSA student. Therefore, most of our services, including members-only areas on our website, require you to provide us with your personal information to gain access.
- Where reasonable and practical we will collect your personal information only directly from you. However, we will also collect information about you from third parties, such as from the University and our contractors who supply services to us or from other individuals or companies as authorised by you.
- We collect personal information from individuals in a variety of ways, including: when you interact with us electronically or in person; when you access our website; and when we provide our services to you.
Use and Disclosure of Personal Information:
- Your personal information will only be used for the purpose for which it was collected.
- Your personal information will not be disclosed to third parties without your consent, apart from our business partners who assist in the provision of our services to you and except where required by law.
- We use “cookies” or similar technologies to collect data on our websites. Our website collects the following information from users:
- the user’s server address.
- the user’s top-level domain name (for example, .com, .gov, .au etc);
- the date and time of the user’s visit to the site.
- the pages the user’s accessed.
- the previous site the user has visited; and
- the type of browser the user is using.
- If you choose to use our website, we may also collect information about your device and activity on our website through the use of Google Analytics tools. Information collected by the Google Analytics tools does not identify individuals.
- Our website has links to other sites not owned or controlled by us. We are not responsible for these sites or the consequences of you going on to those sites.
- From time to time, we may use your personal information to notify you of opportunities that we think you might be interested in through our Your Student Association Newsletter.
- You can update your email subscription preferences or unsubscribe by clicking the 'unsubscribe' link at the bottom of our newsletters. Alternatively, you can contact us at newsletter@usasa.unisa.edu.au to ask for removal from our mailing list. We will take all reasonable steps to process your request promptly.
Access and Correction of Personal Information:
- You have the right to access your personal information held by the association and to request corrections if the information is inaccurate or incomplete.
- You can access and update your personal information by logging into your USASA account.
- It is important to our relationship that the personal information we hold about you is accurate and up to date. During the course of our relationship with you we will ask you to inform us if any of your personal information has changed.
- If you consider that any information we hold about you is incorrect, you can correct it at USASA.sa.edu.au/Account. We will generally rely on you to assist us in informing us if the information we hold about you is inaccurate or incomplete.
- Any other requests for access or correction should be made in writing to the General Manager at USASAGeneralManager@unisa.edu.au
Storage and Security of Personal Information:
- The association will take reasonable and proportionate steps to protect your personal information from unauthorised access, use, disclosure, alteration, or destruction.
- Your personal information will be stored securely, whether in physical or electronic form, and access will be restricted to authorised personnel only.
Retention and Disposal of Personal Information:
- Personal information will be retained for as long as necessary to fulfil the purposes for which it was collected or as required by law.
- When personal information is no longer required, it will be securely disposed of in a manner that protects the confidentiality of the information.
- You have the right to request that USASA delete your personal information if it is no longer necessary for the purpose for which it was collected or if you withdraw your consent. To make a request, contact us at newsletter@usasa.unisa.edu.au.
Confidentiality Obligations:
- All current and previous Board members, employees, and volunteers are required to maintain the confidentiality of personal information.
- Breaches of confidentiality may result in disciplinary action, up to and including termination of Board membership or employment or legal action.
Review and Updates:
- This policy will be reviewed annually or sooner as required to ensure compliance with privacy laws and to reflect changes in the association's operations and services, so please check back from time to time.
- If any significant changes are made to this policy, we will notify you through a notice on our website.
Roles and Responsibilities:
- General Manager:
Responsible for overseeing data management practices, ensuring compliance with this policy, and addressing any data-related concerns.
The General Manager will be the USASA representative on privacy matters. You can contact the General Manager by emailing USASAGeneralManager@unisa.edu.au
- USASA Board, Staff, and Volunteers:
Responsible for following the guidelines set forth in this policy and reporting any data breaches or security concerns to the General Manager.
Non-compliance may result in disciplinary action.
